Products · Daily operations

Run the whole day from one calm screen.

Member records, care plans, forms, activities, meals, and reports on the same participant record that check-in started. Staff document services as they happen instead of rebuilding the day from memory.

  • Simple enough for every staff member
  • Documentation tied to attendance
  • Month-to-month, no setup fee

What is inside daily operations

Four connected pieces: the member record, the documentation completed on it, the program run around it, and the reports that come out of it.

Member records and authorizations in one current view

Each member has one profile that the rest of the day builds on: contact details, authorized family contacts, enrollment information, insurance and authorization details, expected schedule, and consent status. Staff see the current version, not a folder of forms in different drawers.

What's inside

  • Demographics, contacts, and emergency contacts
  • Authorized family contacts for updates
  • Insurance, payer, and authorization details
  • Expected attendance schedule
  • Face-consent status and intake documents
  • Role-based access so staff see what their role needs

Outcome: When a question comes up about a member, the answer is on one screen and it is current.

Care plans and forms completed in the room

Care plans, intake and consent forms, and daily service notes are completed on the same member record, during the day, by the staff providing the service. Documentation is attached to the attendance entry it belongs to, so a service note and the day it happened stay together.

What's inside

  • Care plans your staff can follow during the day
  • Custom forms for intake, consent, and daily documentation
  • Day-of-service notes tied to the attendance record
  • Completed forms stored with the member, findable at review time
  • Individual staff attribution on every entry
  • Medication administration records on the same member record
  • Documentation exports alongside attendance

Outcome: The end of the day is not a second shift of paperwork. Services are documented when they happen.

Activities and meals planned around real attendance

The run-of-day view keeps activities, meals, dietary flags, and participation next to the people on the floor. Staff plan groups and special events in the daily calendar, record participation without opening a separate tool, and keep meal details visible to the staff who need them.

What's inside

  • Daily calendar for groups, activities, and events
  • Participation recorded per member, per activity
  • Meal details and dietary needs visible to authorized staff
  • Meal counts tied to who was actually present
  • Activity and meal documentation in the daily record
  • Plan the program around expected attendance

Outcome: Activity and meal documentation is a by-product of running the day, not a separate log to fill in afterward.

Operational reports from the record you already keep

Because attendance, documentation, activities, and meals share one record, reports come from what staff already entered. Directors answer attendance, activity, and billing-readiness questions without a spreadsheet, and export review-ready records when a payer asks.

What's inside

  • Daily, weekly, and monthly attendance reports
  • Activity and meal documentation reports
  • Member and authorization summaries
  • Review-ready exports in CSV and PDF
  • Correction history preserved in every export

Outcome: Reports answer questions in minutes, and they match the room because they came from the room.

A day with Adult Day Genie on the floor

The Daycare plan follows the way a center already works. Each step adds to the same participant record.

  1. 1

    Arrival

    Check-in starts the record

Face or manual check-in creates the day’s attendance entry. The dashboard shows who is here, who is expected, and any dietary or care flags for the day.

  2. 2

    Morning

    Activities and participation

Staff open the daily calendar, run the morning group, and record participation for the members in the room. Nothing is copied to a separate activity log.

  3. 3

    Midday

    Meals and care notes

Meal counts and dietary details are recorded against the members present. Care plan tasks and service notes are completed by the staff who provided them, on the member record.

  4. 4

    Pickup

    Family update and check-out

An authorized family contact receives a day summary from the same record. Members are checked out, and the director confirms the attendance report matches the room.

  5. 5

    End of day

    The record is complete

Attendance, documentation, activities, and meals are already connected. If a reviewer asks next month, the export is a date range, not a reconstruction.

Why one connected record beats five good tools

Most centers run on a mix of paper binders, spreadsheets, a separate activities calendar, and a billing service that never sees the day. The cost is re-entry, and the risk is documentation that does not match.

  • No double entry

Attendance, notes, activities, and meals are recorded once, against the member, on the day it happened.

  • Documentation matches the claim

When a service note and the attendance entry share a record, the billed day and the documented day begin from the same source.

  • Staff see the next action

The dashboard shows what needs doing now, not every possible setting. If a screen needs training, it has failed.

  • Directors get answers, not tabs

Reports come from the record staff already keep, so a question about last Tuesday is a filter, not a phone call.

  • Corrections stay honest

The append-only rule applies to the whole record, so corrections to notes and forms preserve the original just like attendance.

  • Priced for centers, published

$299 per month for up to 100 members, then $5 per member. Month-to-month, no setup fee, no quote required.

Daily operations questions

Direct answers to what centers ask before a walkthrough.

What is adult day care management software?

Adult day care management software runs the daily operations of a center in one place: member records, care plans, forms, activities, meals, attendance, family communication, and reports. Adult Day Genie connects these on a single participant record so nothing is entered twice.

What is included in the Daycare plan?

Everything in the Attendance plan, plus member and authorization management, care plans and custom forms, activities and meals, authorized family updates, and operational reports. It is $299 per month for up to 100 members, then $5 per additional member per month.

Can staff complete care plans and forms during the day?

Yes. Care plans, forms, and day-of-service notes are completed on the member record by the staff providing the service. The documentation is attached to the attendance entry for that day, so it can be exported alongside it later.

Does Adult Day Genie include medication administration records (MAR)?

Yes. Each member record carries a medication list, dose-by-dose administration logging with time and staff, refusals and missed doses with reasons, and MAR exports by date range. See the medication records product page for details.

How do activities and meals connect to attendance?

Participation and meal counts are recorded against the members who were actually checked in that day. That keeps activity and meal documentation consistent with the attendance record instead of living in a separate calendar or tally sheet.

Can I import my existing member roster?

Yes. The team helps import your existing member information so the first day starts from your current roster rather than blank profiles. Bring a list of staff who need accounts and your member roster with contact details.

Is this an EHR?

No. Adult Day Genie is purpose-built for center-based adult day programs. It is not a cross-setting clinical EHR, and it is not built for home care agencies that need a federally mandated EVV vendor.
